Managing a driver profile

Managing driver profiles involves adding new drivers, searching for drivers in the list, granting them access to Wialon Driver mobile application, and associating their tachograph card codes for compliance and data collection.

Adding a new driver

To add a new driver profile, follow these steps:

  1. Log in to Wialon Platform FleetSpace.

  2. Navigate to the Driver management section.

  3. Click the Add button.

  4. In the driver profile form, enter the following mandatory information:

    • Name: The driver’s full name.
  5. Optionally, provide additional details:

    • Photo: Download the driver’s photo. The maximum file size is 12 MB.
    • Phone: The driver’s contact phone number.
    • Additional properties: Any additional information defined by the service provider (for example, Driver license number, Emergency contact). See how to configure the additional properties in the Setting up drivers quick start guide.
  6. Click Save to create the new driver profile.

A new driver profile is now available in your account.

You can search and filter for drivers on both the Driver management and Drivers online pages to quickly find the information you need.

The available filter criteria depend on the page you are on.

On the Driver management page, you can filter by:

  • Driver name
  • Phone number
  • Device: The vehicle a driver is assigned to. You can select one or more devices or choose the Unassigned option to find all drivers who are not currently assigned to any vehicle.

On the Drivers online page, you can filter by Driver name and Phone number to quickly locate a driver on the map.

To find a driver, use one of the following methods:

Method 1: Quick search

This method is best when you know the device, name, or phone number of the driver you are looking for.

  1. Navigate to the Driver management or Drivers online page.
  2. Start typing in the search field. As you type, the system will suggest matching criteria.
  3. Select a criterion from the list.

The list is filtered to show all results that match your selection.

Method 2: Filtered search

In this method, you start searching by filtering the list first.

  1. Navigate to the Driver management or Drivers online page.
  2. Click on the search field to open the filter options.
  3. Select a filtering criterion. Note that the Device filter is only available on the Driver management page.
  4. Select one or more specific values. For the Device filter, you can select the Unassigned option to find all drivers who are not currently assigned to any vehicle.
  5. Click Apply to see all the results matching the selected filter.
  6. To add another filter, click on the search field again and select an additional criterion.

Enabling access to Wialon Driver app

You can grant drivers access to Wialon Driver mobile application, allowing them to view their information, trips, and manage checklists.

To enable access to Wialon Driver app:

  1. Log in to Wialon Platform FleetSpace.

  2. Navigate to the Driver management section.

  3. Click on the driver’s name to open their Profile.

  4. Locate the Access to driver app toggle switch.

  5. Toggle the switch to on to grant access.

  6. Once enabled, an Access password field will appear:

    • Enter a password for the driver following the requirements or generate a secure password using the icon .
    • Use the icon .to view and check the password.
  7. Click the Copy credentials button to easily share the login details (phone number, password and realm) with the driver.

  8. Click Save to apply the changes.

The driver now has the credentials needed to log in to the Wialon Driver mobile app.

Revoking access to Wialon Driver app

You can revoke access to Wialon Driver app for all the drivers of the customer. To do this:

  1. In Wialon Platform Studio, navigate to the Customers section.

  2. Select the specific customer.

  3. Click on the Settings tab.

  4. Expand the Access to Wialon Driver app section.

  5. Click Revoke access.

  6. Click Apply to confirm the action.

  7. Save the changes on the page.

Now the drivers of the customer don’t have access to the app. To restore the access, enable it on the Drivers: management section following the guide.

Connecting a tachograph card

To integrate tachograph data with a driver’s profile, you need to assign their unique tachograph card code. This code is used for driver identification in the device and for tachograph data downloads.

To assign a tachograph card code to a driver:

  1. In Wialon Platform FleetSpace, navigate to the Driver management section.
  2. Click on the driver’s name to open their Profile.
  3. Locate the Code field.
  4. Enter the unique code of the driver’s tachograph card (for example, employee ID, RFID tag code, or iButton value).
  5. Click Save to update the driver’s profile.

The driver’s profile is now linked to their tachograph card, enabling the integration of tachograph data with their profile.
