Logging in to Wialon Platform

This guide describes the login procedures for different Wialon Platform applications (Wialon Platform Studio, Wialon Platform FleetSpace, Wialon Driver) and user roles (Telematics Service Provider, customer, driver):

Logging in to Wialon Platform Studio

Wialon Platform Studio is the application used by the service providers to manage customer accounts, devices, and all platform settings. Access to Wialon Platform Studio is granted upon invitation and allows for full control over the platform’s features and configurations.

To receive access to Wialon Platform Studio, you must confirm your email address and set the new password. To do this:

  1. Open the invitation email from the Platfrom. The invitation is sent to the email address you indicated when requested the service provider access to Wialon Platfrom.
  2. Click Accept the invitation to confirm your email address.
  3. Open the password change email.
  4. Click Confirm to reset your password.
  5. Set the new password.

Now you can log in to Wialon Platform Studio using the email and password you created. In Wialon Platform Studio, you can manage accounts of your customers and configure the features for them. To set the fuctionalities and the interface layout of Wialon Platform FleetSpace for your customers, you must log in to FleetSpace for configuration purposes.

Logging in to Wialon Platform FleetSpace for configuration purposes

As a service provider, you can log in to a customer’s application to configure the interface, workspaces, assist with support, or troubleshoot issues. To do this:

  1. Log in to Wialon Platform Studio following the steps above.

  2. Navigate to the Customers section.

  3. Select the customer for whom you want to configure Wialon Platform FleetSpace.

  4. Locate and click the Log in as button associated with the customer account.

You can also use the Log in as button in the customers list. To locate the button, hover over the customer row in the list.

Logging in to Wialon Platform FleetSpace as customer user

Wialon Platform FleetSpace is the primary application for customers, such as fleet managers, to monitor and manage their vehicles and drivers. The functionalities and interface of this application are configured by the service provider, and customers log in using credentials provided to them. Customers can see only the functionality allowed and configured for them by the service provider.

To log in to Wialon Platform FleetSpace using the username and password:

  1. Open the Wialon Platform FleetSpace application.
  2. Enter the username provided by your Service Provider in the corresponding field.
  3. Click Log in.

You can set the simplified logging in process to Wialon Platform FleetSpace using the account in other services, like Google. To do this, the customer who needs the simplified login, must confirm their identity provider credentials.

Logging in using the identity provider credentials

The identity provider feature allows users to connect an external account (for example, Google), simplifying the login process.

Step 1: Configure the identity provider

This step is for the service providers and administrators to set up the identity provider within Wialon Platform Studio.

  1. In Wialon Platform Studio, go to the Sites section in the sidebar.
  2. Select the site you want to configure by clicking on its name in the list.
  3. In the site settings, click the Identity provider tab.
  4. Fill in the required fields (Name, Client ID, Client Secret, Auth Url, Info Url, and Token Url) with the credentials provided by the service chosen as the identity provider.

Step 2: Create a user account

The service provider must create a user account in the system that will be linked to the identity provider account.

  1. Go to the Customers section.
  2. Select Users.
  3. Click Add to create a new user account with a username and a password. This will be the initial login for the user.

Step 3: Connect to the identity provider (customer action)

This is the process the customer will follow to connect their account to the identity provider.

  1. Log in to Wialon Platform FleetSpace using the username and password created in Step 2.
  2. Click the icon in the sidebar to open the menu.
  3. Navigate to the Settings section in the sidebar.

  1. In the Identity provider section, click Connect.
  2. Once you are redirected to the identity provider’s login page, enter the credentials for the account you wish to connect (for example, your Google email and password).

Once you have successfully logged in, the account will be linked.

Step 4: Logging in with the identity provider

After connecting the account, the customer can use the identity provider for future logins.

On the Wialon Platform FleetSpace login page, you will now see a key button next to the standard Log in button. Click the key button to log in using your connected identity provider account credentials instead of the username and password.

Logging in to Wialon Driver

Wialon Driver application is used by drivers to interact with the system. Before a driver can log in, a customer (the fleet manager) must create a driver’s profile in Wialon Platform FleetSpace and provide them with the login credentials.

Creating a driver profile (customer action)

  1. Log in to Wialon Platform FleetSpace.

  2. Navigate to the Driver management page in the navigation menu.

  3. Click Add to add a new driver or select the existing one from the list.

  4. Create a new driver by filling in the profile details:

    • name
    • unique tachograph code
    • phone number
    • access password

  5. Click Copy credentials to copy the login information.

  6. Provide these credentials to the driver.

Logging in to Wialon Driver application (driver action)

  1. Open Wialon Driver application on your mobile device.

  2. Enter the phone number provided by your fleet manager (customer).

  3. Enter the password provided by your fleet manager (customer).

  4. Enter the realm provided by your fleet manager (customer).

  5. Click Sign in to log in to the application.
