Managing services in FleetSpace

This guide describes how customers (fleet managers), services technicians and drivers can manage service information in Wialon Platform FleetSpace. The available management actions include:

  • Assigning priority levels and setting deadlines
  • Tracking services and monitoring progress
  • Switching between open and resolved services
  • Filtering the list of services
  • Receiving notifications for timely action
  • Reviewing service history and logs
  • Reporting a vehicle issue for maintenance
  • Updating the status of a service

Assigning priority levels and setting deadlines

To ensure critical tasks are addressed promptly, you can assign priority levels and deadlines to each service.

When editing an existing service, locate the Priority and Deadline fields.

From the Priority dropdown menu, select the appropriate level (for example, Low, Normal, High, Urgent).

To change the due date, click the Deadline field and select a date in the calendar.

Tracking services and monitoring progress

You can filter and track services based on their status to effectively monitor your team’s workload and progress.

In the Maintenance module, you can see the service status on the Services tab.

Switching between open and resolved services

Use the Open and Resolved sections to switch between open and completed services.

The Open tab contains services with the To do and In progress statuses. The services with the Done and Rejected statuses are sorted into the Resolved tab.

Once the status is changed, the service is automatically sorted to the corresponding section.

Filtering the list of services

You can sort services using the filter. To do this:

  1. Click on the Search field and select the necessary filtering criterion or several criteria in the dropdown list. For example, Status.

  2. Choose the status of services you want to display in the list (for example, To Do) and press Enter.

You can also use filtering to sort services by vehicle, priority, deadline and other service details. Multiple filter selection is available.

Receiving notifications for timely action

Stay informed about approaching deadlines, overdue maintenance and new service tasks by monitoring online notifications.

You will receive alerts for maintenance tasks in the Notifications panel. To work with them:

  1. Click the bell icon in the user menu to open the panel.
  2. Click on a specific notification in the list to mark it as read.
  3. You can filter the list to see All notifications or only System notifications.

Reviewing service history and logs

For transparency and accountability, the system logs all edits made to a service. To view the service history:

  1. On the Services tab, find the necessary service in the list.

  2. Click on the service.

  3. Go to the Log tab.

Here you can see the time when the changes were made, the user who made them and the description.

Updating the status of a service

Keep fleet managers and other stakeholders informed by updating the status of a service as you complete tasks. To do this:

  1. On the Services tab, open the service you are working on.
  2. In the Status dropdown menu, select the current stage of the task.

Change the status from To Do to In Progress when you begin the work. Upon completion, change the status from In Progress to Done.

The status changes immediately and is visible to the fleet manager.
